The Complete Meta Embedded Signup Guide: Connecting WhatsApp Cloud API

PAIC Engineering

•March 26, 2026

If you are transitioning your business to a robust automation platform (like PAIC), you will need to connect your WhatsApp number to the official Meta Cloud API. Meta's Embedded Signup is the fastest and most secure way to do this.

However, because the process jumps between your computer screen and your mobile WhatsApp app, it's easy to get lost. This guide breaks down the three massive phases: the web form setup, the mobile QR scan, and the final web confirmation.

Phase 1: Starting the Web Form

You will begin this process on a computer. When you click "Login with Facebook" or "Connect to WhatsApp" on your provider's dashboard, Meta's secure window will pop up.

1. Login and Portfolios

Log in using the personal Facebook account that holds admin rights to your Facebook Business Manager.

  • Select Business Portfolio: Choose your existing company portfolio from the dropdown, or create a brand new one if necessary.
  • Select WhatsApp Account: Choose to connect a WhatsApp Business App using "Coexistence mode" (this allows you to keep using the app on your phone while the AI works simultaneously).

2. Enter Your Phone Number

You will be prompted to enter a phone number. Critical Step: You must enter the exact same phone number that you are currently using inside the WhatsApp Business App on your phone.

3. The QR Code Screen

The web form will now display a large QR code. Stop using your computer for a moment and pick up your mobile phone.

Phase 2: The Mobile WhatsApp App

Because privacy is Meta's top priority, you must explicitly approve the connection from the trusted mobile device where the WhatsApp Business App is installed.

4. Scan the QR Code

Open your WhatsApp Business App on your phone. You will receive an official system message from Facebook saying "Connect to the Business Platform."

Open that chat, click the Connect button, and your phone's camera will open. Use it to scan the large QR code displayed on your computer screen.

5. Share Chat History

Meta will ask if you want to share your existing chat history with the new platform.

  • Share all chats: Highly recommended. This syncs up to 6 months of your 1-to-1 chat history so your new AI or support dashboard has the full context of past conversations.
  • Don't share chats: The platform will start with a blank slate, but you can still view old chats on your phone.

Make your selection and tap Confirm.

Phase 3: Finalizing on the Web Form

Now, turn your attention back to your computer screen.

6. Confirm Permissions

The window will update automatically. Meta will show a summary screen stating exactly what your tech provider (like PAIC) is requesting access to (e.g., "Manage WhatsApp accounts" and "Access conversations"). Click the blue Confirm button.

7. Final Setup Screen

You will see a loading circle saying "Connecting your account." Wait a few seconds until you see the success screen confirming your account is connected!

Meta will give you options to opt-in to advanced analytics or automatically identify leads. Check the boxes that align with your goals and hit Finalize.

Why Struggle Alone?

Even with a guide, managing Meta Portfolios, WhatsApp phone numbers, and API compliance can be a massive headache. At PAIC, as an official Meta Tech Provider, we walk our clients through this process via live video stream, ensuring nothing breaks and your number is never banned.
